VA – Operations Integration Specialist

Thursday to Monday or Tuesday to Saturday, Pacific Standard Time
Flexible with schedule
Willing to report to work during American holidays

The Role:

We are seeking an experienced Operations Integration Specialist to join our team and help elevate our business. As the Operations Integration Specialist, you will be responsible for managing and optimizing the various operational aspects of our short-term rental business, ensuring a seamless experience for our vendors, clients, and guests.

Key Responsibilities:

  • Manage relationships with vendors, clients, and guests, ensuring prompt and effective communication (2-minute response time while on shift).
  • Create and maintain our Standard Operating Procedures (SOPs) in Notion, ensuring they are up-to-date and accurate.
  • Generate and close leads from inquiries for guest stays.
  • Onboard new Virtual Assistants (VAs), clients, and properties.
  • Track and manage activities related to vendors, supplies, and costs.
  • Maintain a 95% or higher 5-star review rate for our properties.
  • Ensure vendor satisfaction with no complaints.
  • Keep our knowledge repository (Notion) up-to-date and accurate.
  • Provide accurate and timely information to our guests.
  • Maintain a consistent online presence with recurring social media posts.
  • Ensure the functionality and performance of our website.
  • Coordinate and oversee various daily operational tasks, such as guest check-outs, cleaning schedules, supply orders, maintenance, and security system management.

Required Qualifications:

  • 2+ years of experience in a similar operations or customer service role, preferably in the short-term rental or hospitality industry.
  • Demonstrated ability to work independently and as part of a team, with a proactive and strategic mindset.
  • Proficient in using Airbnb, VRBO, Furnished Finder, Hospitable/Owner Rez, Notion, Trello, Google Products, Vivint, Ring, and Noiseaware.
  • Excellent communication and problem-solving skills, with a customer-centric approach.
  • Strong organizational and time management skills, with the ability to juggle multiple tasks simultaneously.
  • Experience in managing and onboarding virtual assistants (VAs) is a plus.
